Project Description: As part of enhancing the efficiency and collaboration within the marketing team, I conceptualized and built an Internal Company Portal, enabling team members to seamlessly contribute content to the website. This portal was designed exclusively for employees, ensuring a controlled and streamlined process for content management. Key features and strategies were implemented to create a user-friendly and efficient workflow.

Key Features and Strategies:

  1. Domain Restriction for Employee Access: To maintain exclusivity for employees, I implemented a domain restriction, allowing access only to those with immersivelabs email domains. This measure ensured that the portal was accessible solely to the intended audience—members of the marketing team.
  2. Automation via Zapier Integration: Leveraging Zapier, I set up an automation that directly linked marketing requests submitted through the portal to our project management system, Monday.com. This streamlined the workflow, ensuring that marketing tasks were seamlessly integrated into our project management processes.
  3. Conditional Logic for Dynamic Form Experience: The portal’s form incorporated conditional logic, dynamically showing or hiding fields based on the type of request being filled out. This feature tailored the form experience to the specific needs of each marketing request, optimizing usability and relevance.
  4. Service Level Agreements (SLAs) Implementation: The form integrated SLAs to establish clear expectations for task completion. For instance, website error requests were set with a 3-business day SLA. This not only provided transparency but also ensured that tasks were prioritized and addressed within defined timelines.
  5. Due Date Blocking for SLA Adherence: To enforce adherence to SLAs, due dates were strategically blocked out. This prevented team members from requesting tasks to be completed urgently and emphasized the importance of following SLA guidelines for each type of request.
  6. Connection for Events and Media Coverage: I established a seamless connection for events and media coverage, automating the process of generating posts. Form submissions for events and media coverage were directed to build their respective posts, streamlining content creation and publication processes.
  7. Limiting Users for Production Website Access: The portal’s implementation effectively limited the number of users with access to the production website. This not only maintained a controlled environment but also minimized the risk of unauthorized content changes.

By creating this Internal Company Portal, I successfully enhanced the marketing team’s workflow, introducing efficiencies and controls for content management. The portal’s features, from domain restrictions to dynamic forms and SLAs, collectively contributed to a more organized, transparent, and collaborative process for managing marketing content within the organization.
